Space Reservation Information

Space reservation is for Friday, Saturday and Sunday, July 2-3-4, 2010 at the Hutchinson Rod Run located at Kansas State Fairgrounds, 2000 N. Poplar Street, Hutchinson, Kansas. Tractors must be removed from trailers. All vehicles in show area must disconnect battery cables. Once placed, display vehicles may not be moved until close of show on July 4, 2010.

  • Space Assignments: Space will be assigned on a first come basis. Hutchinson Rod Run, Inc. will cooperate with vendors and exhibitors to provide the best possible location for displays based on availability, reservation and payment date.
  • Indoor Space: Space will be available in Pride of Kansas, Meadowlark, Sunflower I and Sunflower II buildings and assigned on a first come basis.
  • Outdoor Space: Space will be available on a first come basis in front of (east side) of the Sunflower I and Sunflower II buildings.
Booth/Area Size & Fees:

Payment: 50% of fee due with application, balance due by June 1, 2010. All applications submitted after June 1, 2010 must include full payment.

Vendor/Exhibitor Terms & Conditions

  • Set-up Times: Thursday, July 1 - Noon to 8 pm., Friday, July 2 – 6 to 10 am. No set-up on Saturday, July 3 or Sunday, July 4.
  • Take-Down Times: Sunday, July 4 beginning at 3 pm
  • Vendor/Exhibitor Equipment: Vendor/Exhibitor must supply all booth equipment unless other arrangements are made with space application
  • Vendor/Exhibitors are required to operate throughout the entire show. \
  • Electricity: Electrical power is available and must be requested with space application.
  • Space Assignment: Space will be assigned on a first come basis. Hutchinson Rod Run, Inc. will cooperate with vendors and exhibitors

  • Proof of Insurance: A copy of a one million dollar ($1,000,000) certificate of insurance is due with application and payment.
  • Payment: 50% of fee due with application, balance due by June 1, 2010. All applications submitted after June 1, 2010 must include full payment. (See fee schedule on page one)
  • Cancellation Policy: Cancellations must be submitted in writing to Hutchinson Rod Run, Inc., PO Box 627, Hutchinson, Kansas 67504-0627 prior to June 1, 2010. Cancellations not received by June 1, 2010 will forfeit all money paid to date.
  • Acceptance: Hutchinson Rod Run, Inc. reserves the right to accept or reject any exhibit space application.
  • Applicant is responsible to be registered with the Kansas Department of Revenue and to make payment of proper sales tax if making retail sales
By submitting this application we hereby apply for vendor or exhibitor space at the 2010 Hutchinson Rockinʼ Rollinʼ Rod Run, located at the Kansas State Fairgrounds, 2000 N. Poplar, Hutchinson, Kansas. All applications are subject to the rules and regulations governing the show and its production, including without limitations, the terms and conditions set forth in this application.
